Administrative Assistant for Finance and Human Resources
Muskingum University invites applications for an Administrative Assistant in Finance and Human Resources. This position provides advanced administrative support to the Vice President for Finance and Operations (“VPFO”) and the Assistant Vice President for Human Relations and Risk Management (“AVP-HRRM”). The Administrative Assistant is the first point of contact for employees and visitors to the office and provides basic clerical support for two employee relations specialists in the Human Resources Office. This position is exposed to some of the University’s most sensitive information, which requires the utmost confidentiality and attention to detail.
MAJOR RESPONSIBILITIES
- Perform advanced administrative duties, including composing correspondence, reports, and presentation materials, independently and on a wide variety of matters and with varying levels of confidentiality and urgency.
- Schedule and arrange set up for meetings, including, but not limited to, room scheduling and preparation, supplies, agendas, copies, and refreshments.
- Maintain calendars for VPFO and AVP-HRRM; schedule individual appointments and group meetings as needed.
- Draft routine correspondence for the Employee Relations Specialists.
- Provide HR assistance in the adjunct lecturer hiring and assignment process.
- Monitor incoming applications for employment and make application materials available to the appropriate search committees.
- Answer the main phone line for the Human Resources office and provide telephone coverage for the office.
- Provide assistance with faxing and copying documents
- Sort and distribute mail; process outgoing mail.
- Process purchase orders, check requests, and expense reimbursements.
- Reconcile purchase card receipts for the VPFO, AVP-HRRM, and Human Resources Office.
- Develop and implement an efficient filing system for the VPFO, AVP-HRRM, and Human Resources Office to ensure appropriate document retention and confidentiality of information.
- Participate in the planning and execution of special events.
- Assist the AVP-HRRM by preparing the University’s applications for insurance and reviewing and processing routine insurance claims.
- Assist the AVP-HRRM, who also serves as the Title IX Coordinator, with assigning and monitoring completion of training modules and with strategic, campus-wide educational communications, such as posters or emails, as needed.
- Maintain inventory of office supplies.
- Assist with the collection, entry, and maintenance of Human Resources data.
- Verify accuracy and maintain inventory of current University forms and brochures, as well as vendor packets.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
- Associate degree in Office Administration, Human Resources, or related field required; bachelor’s degree preferred.
- At least two years of experience providing advanced or executive-level administrative support. Human resources experience preferred.
- Excellent oral and written communication skills, including writing proficiency in preparing, editing, and proofreading materials using standard business conventions.
- Excellent technology skills, including demonstrated knowledge of Microsoft Office 365 products, office management programs, databases, internet, and social media sites.
- Ability to effectively organize and prioritize multiple projects simultaneously.
- Ability to interact effectively with a wide variety of people, demonstrating intercultural competence and a thoughtful communication style.
- Ability to exercise appropriate discretion and high ethical standards in all interactions while maintaining appropriate confidentiality.
- Ability to prioritize assignments, meet deadlines, anticipate workflow, and multi-task in a fast-paced environment.
- Knowledge of basic office management and organization, including electronic access and storage of records.
- Ability to maintain information with the utmost confidence and avoid conflicts of interest.
- Meticulous attention to detail.
