Administrative Assistant to the Athletic Department

Muskingum University invites applications for an Administrative Assistant to the Athletic Department.  This position administers and oversees the daily operations of the athletic department, provides confidential assistance to the Director of Athletics, and provides clerical support to the Athletic Department.    

MAJOR RESPONSIBILITIES

  • Review and draft general and confidential correspondence for the Director of Athletics.
  • Serve as liaison between the athletic department and the accounts payable department in the Business Office; maintain and monitor all purchase orders, purchasing card receipts, check advances, check advance returns, special requests, and request payment (check requests) for purchases as received; analyze and evaluate all returned travel expense forms to make deposits of return money.
  • Answer multi-line phone and type general correspondence for head coaches as requested.
  • Assist in the planning of travel for athletic teams, including organizing check requests (officials, supplies, etc.), transportation, and lodging for all sporting events.
  • Maintain office equipment and corresponding supplies, including requests for service. 
  • Receive and maintain an accurate record of athletic schedules.
  • Maintain and manage an appropriate filing system for athletic department documents. 
  • Maintain and manage inventory of office supplies.
  • Assist the Director of Athletics with the planning and coordination of special events, and partnership programs (MAC Club, Parent Partners, Corporate Sponsorships).
  • Serve as first point of contact for coaches, students, faculty, staff, prospective students and families, and visitors to the athletic department.
  • Process, receive, and maintain contracts related to athletic events. 
  • Work with coaches on all official’s contracts and with the Business Office through an online payment system for officials.
  • Assist the Faculty Athletic Representative to the OAC and NCAA on all needs for post-season honors and the Clyde Lamb Awards.
  • Order stationery, memo pads, business cards, and recruiting cards for each coach through the University’s Office of Strategic Marketing and Communications.
  • Organize and distribute work for the student assistant and part-time secretary.
  • Process print shop requisitions.
  • Attend Monthly and University Staff Meetings.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Demonstrated organizational skills.
  • Ability to work with general office software, such as MS Outlook and to conduct basic internet research.
  • Proven Word processing and database management skills, including MS Word and Excel.
  • Ability to work successfully, proactively, and with minimal supervision in a fast-paced, time/deadline-sensitive, customer-service-oriented environment.
  • Must have demonstrated, strong, interpersonal skills to interact positively with students, families, faculty, chairpersons, and university administration.
