Administrative Assistant for Academic Operations

Muskingum University invites applications for an Administrative Assistant for Academic Operations.  This position provides administrative support to academic administrators and graduate program directors as part of the University's integrated academic structure.

MAJOR RESPONSIBILITIES

  • Provide administrative support to academic administrators and graduate program directors
  • Coordinate meetings, schedules, and communications for departmental initiatives and academic operations
  • Assist with managing student records, course materials, and program documentation
  • Support planning and logistics for events such as orientations, advisory board meetings, and academic workshops
  • Serve as a point of contact for student and faculty inquiries, directing them appropriately and ensuring timely follow-up
  • Maintain accurate databases, prepare reports, and assist with data entry into institutional systems as needed. (e.g., enrollment data, grant reporting, schedules, and assessment materials)
  • Monitor and order office supplies and assist with budget tracking for departmental needs
  • Support accreditation, compliance, and reporting processes as needed
  • Demonstrate initiative, problem-solving, and a collaborative approach in a cross functional academic support environment
  • Foster a welcoming, responsive, and student-centered environment in all interactions

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Associate degree required; bachelor's degree preferred
  • 2+ years of experience in administrative support or a related role, preferably in higher education or a professional services environment
  • Strong organizational skills with the ability to manage multiple priorities and adapt to changing needs
  • Excellent written and verbal communication skills
  • Proven ability to balance and shift between responsibilities across multiple departments and programs
  • High level of proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort with learning new technology platforms
  • Professional, positive attitude and a collaborative approach to working with diverse groups of people
  • Discretion and confidentiality in handling sensitive information

 

PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Familiarity with academic systems or student information systems (e.g., Colleague, Slate, Canvas)
  • Experience supporting academic programs
  • Interest in supporting innovative and student-focused educational initiatives
